Stagecoach's Journey to Digital Excellence: A Case Study in Engineering Asset Management Transformation

The Need For Change

Acknowledging the shifting business landscape and limitations of their current system, Stagecoach identified three pivotal reasons for implementing a new Enterprise Asset Management (EAM) solution.

Firstly, to mitigate operational risk, the legacy system, nearing obsolescence, increasingly meant additional manual processes to ensure Stagecoach's compliance with statutory conditions, and obligations around its Public Service Vehicle operator license. Secondly, the imperative to enhance efficiencies drove the decision, as the outdated system's labour-intensive processes impeded business effectiveness.

Lastly, the transition to digitization and data-driven decision-making was crucial, given the existing system's deficiency in detailed reporting capabilities and reliance on manual, paper-based data entry. The move towards a modern EAM solution aims to address these challenges and position Stagecoach for a more resilient and efficient operational future.

Navigating The Transformation

Stagecoach undertook a comprehensive market research initiative, aiming not just to replace the existing system but to implement a solution that could drive a fundamental change in their engineering and asset management processes. HxGN EAM emerged as the chosen enterprise solution, aligning seamlessly with Stagecoach's immediate and future needs.

Investing significantly in program delivery, Stagecoach recruited external project management and technical experts, complemented by subject matter experts from within the organisation. The project was strategically managed as a major transformation program within Stagecoach's business change environment, ensuring visibility, quick decision-making, and successful delivery.

The EAM project's rollout over 14 months in Q2 2023 ushered in a new era for the organisation, bringing about immediate and long-term business benefits:

The implementation has resulted in improved controls, with enhanced tracking of the fleet expanding the lifespan of vehicle components, contributing to overall operational efficiency. Furthermore, the focus on environmental benefits aligns with Stagecoach's Net Zero aspirations, supporting the transition to an electric fleet by improving tracking of fuel efficiency.

Automation in parts management and ordering has led to improved stock management, ensuring the availability of components precisely when and where needed. The incorporation of intelligent data insights enables procurement to predict and plan efficiently for spares, maximising the economic benefits of parts warranties.

Additionally, the new digital core facilitates seamless integration, workflow sharing, and data collaboration across other Stagecoach systems and teams. This ensures ongoing digitally driven operations and positions Stagecoach for continued success in an increasingly interconnected business landscape.
